LOCATION: Hagadone Marine Center, 1000 S. Marina Dr, Coeur d'Alene, ID 83814
HOURS: Full-Time
COMPENSATION: $60,000 TO $70,000 DOE

Job Summary

The Events Coordinator plays a critical role in planning, selling, coordinating, and executing a wide range of events across Hagadone Marine Group, including cruise weddings, specialty cruises, and Hagadone Marine Center events. This role is responsible for managing the full lifecycle of events, from initial inquiry and sales through planning, coordination, and on-site execution, ensuring a seamless and high-quality guest experience.

This position requires strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously. The Events Coordinator works closely with clients, internal teams, and external vendors to deliver memorable, well-executed events that align with brand standards and business objectives.

Key Responsibilities

Event Sales & Client Management

  • Manage incoming event and wedding inquiries, guiding clients through the booking process
  • Sell and coordinate cruise weddings and specialty cruise events
  • Serve as the primary point of contact for clients, providing exceptional customer service throughout the planning process
  • Manage guest communication, RSVPs, and event-related correspondence

Event Planning & Coordination

  • Plan and coordinate all aspects of cruise weddings, specialty cruises, and Hagadone Marine Center events
  • Schedule and lead event planning meetings with clients and internal teams
  • Develop detailed event plans including timelines, layouts, and logistics
  • Coordinate food and beverage, seating, décor, entertainment, AV, and other event elements

BEO Management & Systems Coordination

  • Create and manage Banquet Event Orders (BEOs) in Salesforce
  • Block cruise boats and manage scheduling for events
  • Ensure all event details are accurately documented and communicated across teams

Event Execution & On-Site Management

  • Oversee event setup and teardown, ensuring all elements are executed to plan
  • Coordinate staffing for events and assist on-site as needed
  • Manage event flow and troubleshoot any issues to ensure a seamless guest experience
  • Attend cruise weddings and events as required

Vendor & Budget Management

  • Source and coordinate vendors and suppliers, including contracts, payments, and settlements
  • Manage event budgets, track expenses, and adjust as needed to meet financial goals

Marketing Collaboration & Support

  • Provide detailed event information to the marketing team to support promotion and advertising efforts
  • Collaborate on event marketing strategies, registration processes, and campaign needs
  • Capture social media content during events and support real-time or post-event promotion

Cross-Functional Collaboration

  • Work closely with Cruise Operations, Sales, Service, and Marketing teams to ensure alignment and successful execution
  • Ensure all departments are informed and prepared for upcoming events

Continuous Growth, Training & Improvement

  • Stay current on event trends, tools, and best practices
  • Identify opportunities to improve event processes, efficiency, and guest experience

Job Requirements

  • Proven experience in event planning, coordination, or hospitality (weddings and special events preferred)
  • Strong organizational and project management skills
  • Exceptional attention to detail and ability to manage multiple events simultaneously
  • Excellent communication and interpersonal skills
  • Experience with event management systems and CRM platforms (Salesforce preferred)
  • Ability to work under pressure and meet tight deadlines
  • Strong problem-solving skills and adaptability in a fast-paced environment
  • Experience managing vendors, budgets, and logistics
  • Ability to work flexible hours, including evenings and weekends as required
  • Proficiency in Microsoft Office, Google Suite, and event planning tools
  • Team-oriented mindset with strong initiative
  • Bachelor's degree in Event Management, Hospitality, Marketing, or related field (preferred, not required)

Hours & Schedule Expectations

This position is full-time, typically Monday–Friday; however, flexibility is required. Events will require availability during evenings and weekends, with schedule adjustments made accordingly to maintain a 40-hour work week.

Oversee the planning, sales, coordination, and execution of cruise weddings, specialty cruises, and Hagadone Marine Group events, ensuring each experience is professionally executed, aligned with brand standards, and delivers exceptional guest satisfaction.
